How is the signed document limit counted on Papersign's Free plan?

This article is about the eSignature product, Papersign. For our web form builder, see Paperform's pricing plans.

What is the document limit?

Papersign currently offers two plans: Free and Pro. The only difference between them is that Papersign Pro supports unlimited signatures, while the Free plan has a limit of three signed documents per month.

On a Papersign Free account, you can view the number of documents you have left from the avatar icon in the top-right corner of the dashboard.

How are the months counted?

Months are counted from the date that you create a Papersign Free account, so the counter for signed documents will reset on the same day of each following month.

You can view this date under Account Settings → Billing. Click the "Papersign // eSignature Billing" button at the top of the page, then look for your next "billing" date (of $0.00 on the Free plan).

If you are on someone else's Papersign team, you may need to ask the owner or an account admin to find this information for you.

When and how are signed documents counted?

A signed document is counted for the month when its status changes to "Completed," which happens when all parties have signed.

Sent documents that have not been signed yet also count towards the three-document limit, including expired documents. These pending requests are always counted, even if they were sent more than a month ago. You can cancel a pending request at any time; doing so will immediately remove it from the counter, allowing you to send another document.

If the request has expired, you can remove the expiration date and then cancel the request, or simply delete the document.

In summary:

  • Documents with a status of Completed or Archived count towards the monthly limit as of the date that the final signature is collected.
  • All documents with a status of In Progress or Expired count towards the limit, regardless of when they were first sent out. These can be canceled or deleted at any time, allowing you to send another document.
  • Documents with a status of Draft, Canceled, or Rejected do not count towards the monthly limit. You can have an unlimited number of these documents on the Free plan.

What about multiple signers for the same document?

There is no limit to the number of signers per individual document. However, if one document is copied to use as a template for another signature request, each copy is counted separately. For example:

  1. An apartment manager sends out a lease agreement to be signed by the two tenants staying in that unit and the owner of the property. This single document with three signatures counts as "one signed document," so two more documents can still be sent and signed this month.
  2. Another unit in the building is rented, and so the apartment manager copies the previous unit's lease document to use it as a template. After updating the address, rent amount, and signer information, this new agreement is sent out for signatures. This counts as a second document.

What if I am on a team with other users?

The three-document limit is per team, not per user/login. If you are on a Papersign Free team with multiple seats, the entire team shares a total of three signed documents per month.

If you are a member of someone else's team, you can create a team of your own from the avatar menu (or switch over to it if you already have one).

Each team has a separate set of documents and its own signed document limit. You cannot transfer documents between teams.

For more information, see the Managing Teams and Users Guide.

Can I test out Papersign without hitting the limit?

Completed documents will always count towards the monthly limit, but you can still test most of the signing experience without sacrificing a slot. You can:

  • Preview the signing flow from within the document editor. This can be done any number of times on any number of draft documents, using the eye icon in the top-right corner of the editor.
  • Send out signature requests to test signers and then cancel them before all parties have signed. For example, if your document has three signers, you can still cancel it after the first two participants have signed and submitted their sections.
  • Send a Test Document that allows you to test the complete signer flow - the catch here is that test documents must have all signers set to the account owner's email address. You can do so using the small arrow next to the "Send" button (or the "Send as Test" button when you've reached your plan document limits.
