Managing documents in the Papersign Dashboard

The Papersign Dashboard is the place to manage all documents associated with your account. These include documents that you are preparing to send, documents that have been sent out already, and signature requests that you have received.

Documents owned by you or your team will appear under "My Dashboard" or "My Team Dashboard", respectively. Documents shared with you will appear under your "Inbox".

Search and filter documents

You can filter documents inside your dashboard using the Status Buttons at the top of the page, and the Search Bar on the right. You can also sort documents by most recent updates to least, and vice versa.

Search Bar

Type in the Search Bar to filter for keywords. This will check the titles of documents and names of participants.

If you have an active "Status" filter, the Search Bar will narrow down documents of that status.

Status Buttons

To filter by document status, click one of the Status Buttons at the top of the page. These can be used to narrow down your Search Bar results.

You can filter by the following statuses:

  • Draft
  • In Progress
  • Canceled
  • Completed
  • Expired
  • Rejected

Clear Filters

Click the "Clear Filters" icon to reset all filters and return to the default Dashboard view. This icon looks like a funnel with a line through it.

Sort by Date

Click the "Updated At" header to sort the current view by most to least recently updated, or vice versa.

Global Search

If you have multiple Spaces, you can quickly search through all documents you have access to using the global search feature.

Global Search can be found under the Papersign logo on the top left of the dashboard.

To search across all documents, either:

  • Click the search icon under the Papersign logo.
  • Or, press Ctrl + K or Cmd (⌘) + K to use the keyboard short keys.

Managing Sent Documents

Select a sent document (that is, any document that is not in “Draft” status) to view its progress. The page that follows is divided into three tabs:

Details

Select the "Details" tab to check your participants' progress and view the document's settings and reminders.

Actions

Click the "Actions" tab to view a time-stamped record of all activity relating to the document since it was created.

Preview

Select "Preview" to view the most updated version of the document. The document is updated each time a signer has finished their turn in the signing flow.

Document Options

To the right of the three tabs, you will find a combination of the following options, depending on the document's status:

  • Copy
  • Edit
  • Cancel Request
  • Delete
  • Archive

Copy

This applies to all documents. It copies the selected document in a new "Draft".

Edit

This option applies to "In Progress" documents. It cancels the selected document (halting the signing process) and generates a new copy in "Draft". You will need to send the updated document to all participants, regardless of whether they signed the original document.

Cancel Request

This option stops the signing flow of "In Progress" documents. Participants will no longer have access to the document.

Delete

This is an option for documents that have not been completed. Deleted documents are removed from your dashboard and cannot be recovered.

Archive

This option is for documents in "Completed" status. These documents cannot be deleted, so instead, they are moved to your "Archive". Learn more about archiving "Completed" documents in Papersign.

Where are the documents I've received?

If the Dashboard is your center for all things related to document creation, the Inbox is your hub as a signer. All of the signature requests that you have received (at the email address associated with your Papersign account) will appear here.

Inbox

From the Dashboard, you can get to the Inbox by selecting the "Inbox" button on the bottom-left corner or clicking "Requires Action" at the top of the page.

In your Inbox, you can search and filter documents similar to the Dashboard. Documents will have one of two statuses:

  • "In Progress" documents are waiting for your signature.
  • "Completed" documents have been signed by all parties.

Click the icon to the right of a document to either sign it or download it.
